Client - Hannaford Bros. Company

Client Profile - Hannaford Bros. Co. was founded in 1883 and is headquartered in Scarborough, Maine. Hannaford has 25,000 employees working in more than 150 supermarkets and combination food and drug stores in Maine, New Hampshire, Massachusetts, New York and Vermont.

Challenge - Even with one of the lowest turnover rates in the retail industry, Hannaford issues almost 40,000 W-2's annually. Because many former employees have address changes, a large number of undeliverable W-2's are returned every year. When Hannaford's payroll department received an "I didn't get my W-2" phone call, they had to search through boxes of returned mail to find it. In some cases, the W-2 wasn't returned so it needed to be reprinted using CD images. Hannaford wanted a solution to reduce their labor and postage costs associated with handling reissues. They also needed a more convenient way for both current and former employees to receive original and reissued W-2 forms.

Solution - Hannaford selected e-PRINTVIEW to offer electronic W-2's to their employees. Since Hannaford has kiosks and printers in all of their stores, employees without Internet access could easily participate. At regular intervals during the year, Hannaford sent files including all their employees to JAT. This allowed Hannaford to increase employee participation by giving "then current" employees the ability to sign up at that time. It also enabled Hannaford to include new employees in all their electronic W-2 promotions. The program was a huge success and Hannaford was very pleased with the number of employees who opted to receive their W-2 online. Now when current or terminated employees call for a reissue, they are directed to the self service Web site. Hannaford also used JAT's Print Services to print W-2's for employees who didn't participate in e-PRINTVIEW.

Results - e-PRINTVIEW eliminated eighty percent of the total costs previously associated with reissues. Among those, postage and forms costs decreased because of the high volume of employees electing to receive their W-2 online. Employee satisfaction increased because they had immediate access to their forms.
